Obtaining a Team Number

Hosting a team out of Willow Creek Tennis Club (WCTC) facility in Willow Creek (WC) is considered a PRIVILEGE by the HOA Boards, as teams are given priority over residents who may want to use the courts during assigned matches. TEAMS ARE REQUIRED TO HAVE WC RESIDENTS AS TEAM MEMBERS.

 In order to play out of Willow Creek, each team must obtain a team number. To do this each team must assign a Team Sponsor (TS) who resides in Willow Creek (HOAs 1, 2 or 3) and is in good standing with their respective HOA. The TS does not necessarily need to be the captain of his or her team, but is the person to whom all correspondence will be sent regarding schedules, etc. 

  Please Note:

  • COURT ASSIGNMENTS: ALL TEAMS MUST PLAY ONLY ON THEIR COURTS ASSIGNED BY THE COURT SCHEDULER. FAILURE TO DO SO WILL RESULT IN EACH PLAYER OF THE ENTIRE TEAM NOT BEING ABLE TO PLAY ON A LEAGUE TEAM ON WC COURTS FOR THE REMAINDER OF THE YEAR, FOR ANY TEAM THAT HAS NOT ALREADY BEEN SCHEDULED, AND FOR THE FOLLOWING YEAR ON ANY LEAGUE TEAM. IN THE CASE OF A RAIN OUT OR MAKE UP MATCH, THE TEAM SPONSOR MUST MAKE ARRANGEMENTS TO SIGN UP FOR COURTS IN HIS/HER OWN HOA. 
  • The Quebec courts (alternate surface) in WC1 MAY be included in the scheduling rotation of courts. 
  • During busy evenings, your team may not be assigned all of the courts you require for your match at 6:00 pm.  You will be assigned the additional courts you require at 4 pm and will need to coordinate with the other team to make arrangements.
  • Team Numbers will be assigned per the rules listed below.

  To receive a team number the TS/Captain will do the following:

  • Fill in the application form listing ALL WC RESIDENTS AND NON RESIDENTS ON HIS OR HER TEAM. For your convenience the form is located below and includes pick list options to make it easier to populate the form. Please make sure that you complete the entire form including the NTRP level and the specific league you are applying for. Team applications must be completed by the following 2021 dates:
    • February 18 - Trio
    • February 25 - USTA Mixed 18 & Over
    • March 4 - USTA Adult 18 & Over
    • March 25 - USTA Adult 55 & Over, CTA Women's Daytime Doubles
    • April 22 - USTA Mixed 40 & Over
    • April 29 - CTA Adult 18-39, USTA Adult 40 & Over, CTA Women's 2.5 18 & Over
    • June 3 - ITA Mixed Doubles, CTA Adult 65 & Over
    • June 10 - CTA Twilight
    • June 24 - CTA Women's Summer Daytime

  • Make a check out to WILLOW CREEK TENNIS CLUB for the correct amount (see below) depending on the type of team you are applying for:

             Cost is based on maximum number of courts used by a team for one match                       

                        5 WC courts = $300                     

                        4 WC courts= $240  (for 40 & Over League only)                     

                        3 WC courts = $180  

  • Deliver the application form and check to the Facility Coordinator (FC):

  • No applications will be considered until the check is received.

THE TS/CAPTAIN WILL BE NOTIFIED WITHIN TWO DAYS AFTER THE APPLICATION DEADLINE WHETHER OR NOT YOUR TEAM HAS BEEN GIVEN A TEAM NUMBER. If a team number is not given, the check will be destroyed.   

 Rules:

  • There may be no more than 2 five line teams at a given level.  Priority will be given to the two teams with the most WC residents.  Any residents from a team that has been denied a team number must be accepted by the team with the next least residents if the denied residents still wish to play out of WC.
  • At a minimum, all teams must meet the following criteria for residents on their team:
    • Five line teams must have 3 residents
    • Four line teams must have 3 residents
    • Three line teams must have 2 residents
  • If there are any Willow Creek residents on the Wanna Play list at the USTA level of a team, the team must add those players in the following scenarios (regardless of the date):
    • If a team is adding a new player (this means the resident must be added before any non-resident)
    • If a team has fewer players than the threshold for that team size. Threshold is 150% of the number of players who play during a single night. For example, eight players play each night in the 18+ season so the threshold for 18+ is twelve. If an 18+ team has eleven players and there is a resident on the Wanna Play list, that resident must be added to the team. If the 18+ team has twelve players they aren't required to add the resident, though they can still choose to do so.
  • If there are any Willow Creek residents on the Wanna Play list at the USTA level of a team as of December 31st, the team must add those players if that team has one or more non-residents on their team, regardless of the size of the team.
  • The WCTC reserves the right to deny teams a team number if insufficient courts are available for teams playing at a given time slot.  For applications received by the due date, teams with the maximum number of WC residents will always be given priority. 
  • A member of EACH team is REQUIRED to fulfill a volunteer requirement in the WCTC. Possible volunteer jobs include:
    • Maintenance committee-mainly rolling up and down windscreens in spring and fall and making sure courts are in order for the tournament.
    • Hosting neighborhood socials
    • WC Tournament volunteers: sponsors/prizes, female player recruitment, male player recruitment, draws and courts, clubhouse (party/food/beverage), communications. 
    • Bulletin board posting for Phillips courts, Mineral courts, Willow Way courts, and Jamison (when a new schedule comes out)
    • Writing Tennis Talk articles for HOA newsletters and Nextdoor
    • Website maintenance (Wordpress)
    • WCTC board positions

The captain of each team must attend a mandatory Zoom meeting at the beginning of the season.  If the captain cannot make it, a member of the team must attend in his or her place.  The date of this meeting is to be determined.

  • The Microsoft Excel form will open in a new window. You'll need to Download the form for editing and printing. Please note that you cannot edit the form in Apple's Numbers application. Only Excel. 
  • The form has drop-down list selections for: League, NTRP, Day and Time of Matches, League Type, Court Fee, HOA your players belong to and Volunteer Position.  
  • When printing from Microsoft Excel on a Mac, under Scaling in the Print dialog box, select the checkbox for Fit to: 1 page.   

Refund:

  • A refund may be requested according to the following table after the season ends and before October 1st. The TS/Captain must email the FC with the following information:  team number, level, league, ALL team members noting WC members and non residents. The FC will then request a check from the WCTC Treasurer.

 A WC member is a Willow Creek resident in good standing of an HOA that is part of the WCTC for the year.
